Why CRQM?
CRQM stands for Customer Relationship and Quality Management. We developed the system from the practice of a manufacturing supplier: every purchase order, every goods receipt, every inspection, every production order and every invoice is tied to the same article version. Nothing is entered twice, nothing gets lost.
Because CRQM is modular, you only use what you need: a trading company starts with sales, purchasing, finance and time recording; a manufacturer adds production, quality and part approval. As a young company we develop CRQM together with our customers. Whoever calls us talks to people who know the code.

The functions of each module, as implemented in the system.
Sales & CRM
From quotation to paid invoice, in your customer's language and currency.
The sales module runs quotation, order confirmation, delivery, invoice, credit note and dunning as one continuous document chain, directly linked to inventory, production and financial accounting. A shared master file combines customers, contacts, activities, sales opportunities and documents in a 360° view. The telephony integration shows which customer is calling the moment the phone rings.
-
Quotations with version control: New version by copy, costing as a line item, PDF in the customer's document language (DE/EN/PL).
-
Blanket orders and call-offs: Call-off quantities are written back to the blanket order automatically; the agreed price applies at any quantity.
-
Invoicing with QR-bill and KSeF: Swiss QR-bill, Polish e-invoicing with offline queue, credit notes with automatic settlement.
-
Three-level dunning: Dunning run by cut-off date with templates in the customer's language; payment behaviour report per customer.
-
360° view with register lookups: Contacts, activities, opportunities and documents per partner; Swiss UID and Polish NIP/REGON registers queried online.
-
EDI and telephony: Delivery schedules per VDA 4905, dispatch advice per VDA 4913; caller pop-up from the customer master on ringing.
Purchasing & Payables
From purchase order to payment file, with no double entry and no gaps in the audit trail.
The purchasing module manages purchase orders, blanket orders, requirement proposals and delivery reminders and links them to goods receipt, incoming invoice and financial accounting. Incoming invoices arrive manually, from the DMS, from the Polish KSeF platform or as an intercompany handover, pass through the approval workflow and are posted in a three-way match. Open items, cash discount, settlement and payment runs as pain.001 complete the payables process.
-
Purchase orders and blanket orders: Configurable order types, call-offs at a fixed blanket price, order PDF and e-mail in the supplier's language.
-
Requirement proposals and delivery reminders: Requirements from production orders and minimum stocks; overdue orders are reminded per supplier by e-mail.
-
Three-way match with GR/IR account: Each invoice line knows its purchase order and goods receipt; stock items are revalued to the actual landed cost.
-
Approval workflow with coding on the document: Invoices from DMS, KSeF or intercompany pass through the configurable document check and are handed over automatically.
-
Open items, cash discount and settlement: Two cash discount levels per item, settlement against credit notes, exchange gains and losses posted automatically.
-
Payment proposals and pain.001: Discount-optimised payment runs as ISO 20022 file: QR reference, SCOR, IBAN, SEPA and foreign payments.
Finance & Payments
From goods receipt to payment clearing, CRQM posts without manual ledger entry.
A complete double-entry accounting system with general ledger, receivables and payables, fixed assets, VAT for Switzerland and Poland, and payments to Swiss standards. Purchase order, goods receipt, invoice and payment post automatically through configurable account matrices. Every change to an open item is written to an immutable mutation log, so any past reporting date can be reproduced exactly.
-
Bank statement import camt.053/054: Automatic matching by QR reference, invoice number and amount; cash discounts and rounding are recognised.
-
QR-bill and pain.001: QR payment part with QRR or SCOR reference on every invoice; payment runs as pain.001 files with remittance advice.
-
VAT for Switzerland and Poland: Swiss return with cumulated ESTV figures, JPK_V7M export, KSeF inbound and outbound, split payment, whitelist check.
-
Audit-proof open items: Immutable mutation log with economic effective date; every past reporting date can be reconstructed exactly.
-
Fixed asset accounting: Five depreciation methods including units of production; asset additions directly from the purchase order line.
-
Reporting and cost accounting: Rolling 12-month balance sheet and P&L, freely configurable analysis reports, cost centres and cost objects.
Inventory, Goods Receipt & Shipping
Every lot traceable from supplier to customer, every movement posted to the ledger.
CRQM manages stock by lot on a FIFO basis and posts every inventory movement synchronously to the inventory sub-ledger, general ledger and cost accounting. Goods receipts and goods issues are recorded, inspected, posted and labelled on desktop or tablet; reversals run exclusively through contra entries. The country of origin is confirmed at goods receipt, providing the data basis for customs and CBAM.
-
Lot-level FIFO stock management: Every receipt forms a lot with batch, inspection record and supplier; issues check availability as of the posting date.
-
Goods receipt with origin confirmation: Country of origin confirmed per line instead of inherited; net mass and commodity code feed the CBAM module.
-
Goods issue on the tablet: Multi-line entry, quality check, shipping check with four control points and label printing in one wizard.
-
Labels in ZPL and VDA 4992: Direct Zebra printing with customer layouts, label language DE/EN/PL per job, package ID and DataMatrix per VDA 4992.
-
Stocktaking with variance posting: Counting on desktop or tablet via QR scan; variances are posted automatically to financial accounting on closing.
-
Inventory-to-ledger reconciliation: Reconciliation tool compares inventory sub-ledger and general ledger per posting number down to the single line.
Production & Planning
Plan against real capacity, report without paper, post-calculate without Excel.
Production orders take over the routing and bill of materials of the released article version and are scheduled backwards from the due date on the Gantt planning board against shift and machine capacity per day. Downtimes and approved absences reduce available capacity, the shop-floor tablet reports quantities and times, and the post-calculation compares actual and target costs per operation.
-
Gantt planning board: Machines as rows, operations as bars; drag and drop, filters and saved views.
-
Backward scheduling: From the due date against shift and machine capacity per day, including parallel devices.
-
Downtimes and absences: Blocked shifts and approved absences reduce capacity; planning data remain unchanged.
-
Shop-floor tablet (BDE/IPC): QR scanning, feedback, fault reports, drawing display and measurement entry without a PC workstation.
-
BOMs and routings with Q-levels: Multi-level, with where-used list; every article version preserves its BOM and routing.
-
Costing and post-calculation: Overhead costing and contribution margins CM1–CM3 in one view; actual times × rates plus material as PDF.
Quality & Part Approval
Secure quality where it is created: at the article, in production, at the supplier.
Inspection plans are tied to the article version, measured values come from the tablet in production, and the part approval generates the ready-to-submit PPAP or PPF package from the same data. No Excel, no media discontinuity.
-
Part approval to PPAP, VDA PPF and AS9102: Drawing ballooning, OCR characteristic suggestions, complete submission package as one PDF.
-
Incoming and outgoing goods inspection: Inspection plans per article version, dynamic inspection severity, supplier rating in ppm.
-
In-process inspection (SPC): Measured values on the shop-floor tablet, Cpk/Ppk from real production data.
-
FMEA: Five levels, RPN traffic light, automatic deadline reminders.
-
Inspection equipment & maintenance: Calibration traffic light, MSA (Cg/Cgk), maintenance by calendar, runtime or cycles.
-
Complaints per 8D: From immediate action to effectiveness check, as a PDF report.
Projects & Documents
Projects, approvals and documents in one system – with no external cloud services.
The project module combines agile and phase-based project management with APQP maturity level assurance according to VDA and a commercial project view. The workflow engine handles invoice approval, expenses and intercompany transfers by configuration, and the document management system makes every document searchable via OCR. Text recognition, classification and PDF conversion run on company-owned infrastructure.
-
APQP maturity levels RG0–RG7: Part × maturity level matrix according to VDA with a traffic light per cell and roll-up per part, level and phase.
-
Gate workflow with escalation: Approval per maturity level; a red rating or rejection triggers a follow-up and an e-mail to the project manager.
-
Agile and phase-based: Backlog, sprints, Kanban and burndown or phases, milestones and Gantt – on the same tasks, freely combinable.
-
Project budget and revenue: Budget per category and year with plan, actual and remainder; planned revenue from costings, actual revenue from orders.
-
Approvals by configuration: Invoice approval, expenses with OFX credit card import, intercompany transfer – no programming, full audit trail.
-
DMS with OCR and classification: OCR in five languages, full-text search in document content, self-learning classification, versioning, QR payment part.
Time & Personnel
Time clock, shifts, absences and balances – for Switzerland and Poland.
Time recording runs as an installable web app on smartphones and wall-mounted tablets – with no user accounts of its own. Shift rotation, night shifts and break logic calculate target and actual hours automatically; absences run through an approval workflow with multiple supervisors. The SECO short-time work export for Switzerland and the e-ZLA sick note import for Poland cover the country-specific requirements.
-
Time clock as a smartphone app: Installable on iOS and Android, site access via employee list or PIN – no user accounts required.
-
Shift rotation and night shift: Cyclical weekly schedules, clocking across midnight, automatic closing of forgotten clock-ins.
-
Break logic with anomaly detection: Forgotten, too short or shifted breaks are detected and actual hours corrected in a traceable way.
-
Flexitime and holiday balance: Balance from actual minus target hours, holiday account per site in days or hours, evaluable as of any date.
-
Absences with approval: Request, decision by any one of several supervisors, e-mail in the employee's language.
-
Month-end closing and official exports: Audit-proof month-end closing, SECO short-time work export (CH), e-ZLA import from ZUS (PL).
Frequently Asked Questions
Everything you need to know about CRQM ERP
Which industries is CRQM made for?
CRQM originated in manufacturing and covers demanding requirements there: metal and plastics processing, suppliers to automotive, mechanical engineering and aerospace. Thanks to its modular structure, CRQM is equally suited to trading and service companies that want to run sales, purchasing, finance, documents and time recording in one system, especially with sites in Switzerland and Poland.
What company size is CRQM suitable for?
CRQM is designed for small and medium-sized enterprises (SMEs). Thanks to its modular structure, you can start with just a few users and scale up to several hundred employees as needed. You only pay for the modules and users you actually need.
Does CRQM support multiple sites and countries?
Yes. Switzerland and Poland are fully covered for tax purposes: VAT according to ESTV codes and JPK_V7M, KSeF e-invoicing, Swiss QR-bill, official exchange rates from NBP and BAZG. Each company has its own database, documents between your own sites are linked without double entry, and access rights apply per module and site. Read more on the page Switzerland and Poland in one system.
How quickly can I start with CRQM?
The first modules are ready for use within a few days; a complete rollout typically takes a few weeks. We follow a phased approach: start with the most important modules (for example sales or finance) and expand the system according to your needs, including training on site or online.
How do our existing data get into CRQM?
CRQM includes a CSV import framework for bulk data with a configurable delimiter and header detection, for example for master data from your previous system. Documents from a replaced legacy DMS remain fully usable: the metadata is taken over, the originals are loaded on demand and converted to PDF automatically when first opened, and the original is kept as evidence. Bank statements arrive as camt.053/054 files, Polish incoming invoices directly from KSeF. We support the data takeover as developers and roll the system out step by step, module by module.
How secure is my data with CRQM?
Your data is hosted in Switzerland and is subject to Swiss data protection law; access is via HTTPS, and daily backups protect your data. Each company has its own separate database for its business data. Login is protected by two-factor authentication (TOTP, compatible with common authenticator apps), which can be made mandatory for all users per company. After more than five failed attempts the IP address is automatically blocked for 30 minutes, and every login and company switch is recorded in an access log with timestamp, user and IP. Conversion of Office documents, e-mails and images to PDF runs through an internal service, with no transfer to external cloud services.
Can our fiduciary or an external accountant work directly in CRQM?
Yes. External staff such as fiduciaries are enabled as guest users for your company and switch between all companies they are authorised for with a single login. Rights are assigned separately per company, optionally with mandatory two-factor authentication on every company switch. External users are marked as “External” in the user list, every login and company switch is logged, and a revoked access takes effect immediately, not only at the next login. Account sheets are available as PDF and CSV.
Can CRQM be connected to other systems?
Yes. CRQM provides a REST API with around 50 resource areas across all modules: master data, documents, finance, DMS, quality, time recording and projects. Server-to-server integrations use machine tokens with IP binding, an endpoint whitelist and an expiry date; every access is logged. Built in are EDI according to VDA (delivery schedules 4905, dispatch notifications 4913), the Polish e-invoicing system KSeF, bank statement import camt.053/054 and payment files pain.001, register checks for the Swiss UID and the Polish NIP with whitelist, the connection of a telephone system, and a paginated export of article specifications, stock levels and prices for web shops and websites.
Which devices does CRQM run on, and does anything need to be installed?
CRQM is web-based and runs in the browser, with no installation on workstations. The desktop offers the complete ERP interface. For production and warehouse there is a dedicated touch interface for tablets: goods receipt and dispatch, time stamping, drawing display with annotations, photo upload and label printing directly at the workplace; tablets are registered per device and site. For time recording there is an installable smartphone app (PWA) for iOS and Android with clock-in/clock-out, daily overview and absence requests. Network and label printers are driven server-side.
Does CRQM support CBAM?
Yes. CRQM includes a dedicated module for the EU carbon border adjustment: product scope via CN codes, origin confirmation at goods receipt, import of customs declarations, monitoring of the 50-tonne threshold, emission values with verification evidence and a CBAM data sheet for your EU customers. Details on the page CBAM in the ERP.
Can CRQM be adapted to my specific business processes?
You configure a lot yourself: approval workflows, account matrices, document templates, label layouts, inspection plans and shift models. For special requirements we as developers are directly available and implement individual adjustments at short notice, an advantage of our personal support.
What support do you offer, and how often are there updates?
Support is available Monday to Friday from 8 am to 4 pm by phone and e-mail, and you speak directly with the developers of CRQM. Updates are included in the price and are rolled out regularly: usually monthly, smaller improvements also weekly. An update requires no effort on your side, since CRQM is web-based and hosted centrally.
What does CRQM ERP cost?
CRQM offers transparent, modular pricing with no hidden costs. You pay a monthly fee based on the selected modules and number of users. Individual pricing information is available upon request, including a free demo.
